Booking Policy, Payment & Cancellation Policy – Salkantay Trek 3 days to Machu Picchu
At Machu Picchu Team, we believe in complete transparency. Please read the following booking, payment, and cancellation policies carefully before confirming your reservation.
1. Booking Deposit: To secure your place on the Salkantay Trek 3 days to Machu Picchu, a non-refundable deposit is required at the time of booking. Your deposit allows us to immediately secure the services that require advance purchase, including: Machu Picchu entrance ticket, Train tickets (if included in your package), Hotel reservation in Aguas Calientes, Operational logistics and permits. Because these services are purchased and confirmed immediately after your reservation, the booking deposit is non-refundable and non-transferable.
2. Payment of the Remaining Balance: If you choose to pay only the deposit when booking, the remaining balance must be paid no later than 48 hours before the trek begins. The balance can be paid: At the Machu Picchu Team office in Cusco. Online through our secure payment platform, By credit card, By debit card, By bank transfer or In cash (USD or Peruvian Soles). Failure to pay the remaining balance before the deadline may result in the automatic cancellation of your reservation without any refund of the deposit.
3. Machu Picchu Entrance Tickets: All Machu Picchu entrance tickets are issued exclusively by the Peruvian Ministry of Culture. According to government regulations, once a ticket has been issued: It cannot be cancelled, It cannot be refunded, It cannot be transferred to another person, The passenger’s name cannot be changed, The travel date cannot be modified. These regulations are established by the Peruvian Government and apply to every authorized tour operator.
4. Optional Mountain Tickets: Additional entrance tickets for: Huayna Picchu Mountain or Machu Picchu Mountain are subject to limited daily availability and are purchased immediately after your booking is confirmed. These permits follow the same regulations established by the Ministry of Culture and therefore are: Non-refundable, Non-transferable, Non-changeable. Only one mountain ticket may be added for the same travel date.
5. Train Tickets: If your package includes train transportation, your tickets are purchased through PeruRail or Inca Rail. Once issued, train tickets are generally: Non-refundable, Subject to the operating policies of the train company. Changeable only when permitted by the train operator and subject to availability and additional fees. Machu Picchu Team cannot override the policies established by the train companies.
6. Cancellation Policy: All cancellation requests must be submitted in writing by email. The following cancellation conditions apply: More than 48 hours before departure. If you cancel more than 48 hours before the trek begins, your booking deposit will be retained as a cancellation fee. If you have already paid the full tour price, you will receive a refund of the remaining balance after deducting: The non-refundable booking deposit, Any Machu Picchu entrance tickets already purchased, Optional mountain tickets already issued, Train tickets already issued, Hotel reservations already confirmed, Any non-refundable optional services, Payment processing fees. Within 48 Hours of Departure. If you cancel within 48 hours before the trek starts, 100% of the total tour cost will be forfeited, and no refund will be issued. At this stage, all services have already been confirmed with hotels, transportation providers, guides, cooks, support staff, and government institutions.
7. If You Paid Only the Deposit: If you paid only the booking deposit and later decide to cancel your reservation, no refund will be issued. However, if your Machu Picchu entrance ticket has already been issued, you may still use it personally on the original travel date, provided you arrange your own transportation and logistics. Please note that the ticket cannot be transferred to another person or used on a different date.
8. Changes to Your Reservation: Once your reservation has been confirmed, any requested changes are subject to availability. Changes such as: Departure date, Passenger information, Return option, Train schedule, Hotel, Optional services. May generate additional charges depending on supplier policies. Certain services, including Machu Picchu entrance tickets and train tickets, cannot be modified once issued.
9. Refund Processing: When a refund applies under these policies, it will be processed using the original payment method whenever possible. Please allow approximately 7 to 30 business days for the funds to appear in your account, depending on your bank or credit card provider. Bank charges, exchange rate differences, payment gateway fees, and other financial transaction costs are non-refundable.
10. Our Commitment: Our goal is to provide complete transparency throughout the booking process. We purchase entrance tickets, transportation, accommodations, and operational services immediately after confirming your reservation to guarantee your place on the trek. For this reason, we strongly encourage all travelers to review these policies carefully before booking and to contact our team if they have any questions. Terms & Conditions – Salkantay Trek 3 day to Machu Picchu
Passenger Information: All passengers are responsible for providing accurate personal information exactly as it appears on their valid passport, including full name, passport number, nationality, and date of birth. Incorrect or incomplete information may result in denial of entry to Machu Picchu or the inability to issue train tickets or other travel documents, and Machu Picchu Team is not responsible for additional costs resulting from incorrect information provided by the traveler.
Passport Requirements: The passport used during booking must be the same one presented when entering Machu Picchu and boarding the train. If you renew or replace your passport after booking, please notify us immediately so we can advise you on the documentation required by Peruvian authorities.
Student Discount: Passengers booking with a student discount must provide a valid student ID that meets the requirements established by the Peruvian Ministry of Culture. If the required documentation is not submitted before tickets are issued, or if the student ID is rejected by the authorities, the passenger must pay the price difference before the tour begins.
Physical Fitness: The Salkantay Trek is a high-altitude mountain adventure that requires a reasonable level of physical fitness. Participants should be prepared for long hiking days, high-altitude conditions, uneven terrain, steep ascents and descents, and rapid weather changes. If you have any medical condition that may affect your participation, please consult your physician before booking and inform us in advance.
Medical Conditions: Passengers are responsible for informing Machu Picchu Team of any relevant medical conditions, allergies, dietary restrictions, or physical limitations before the trek, so our guides and support team can provide the best possible assistance during the tour.
Altitude and Personal Responsibility: The Salkantay Trek reaches elevations of more than 4,600 meters (15,000 feet) above sea level. Although our professional guides carry first-aid equipment and emergency oxygen, each traveler accepts the natural risks associated with high-altitude trekking, including altitude sickness, fatigue, slippery trails, cold temperatures, heavy rain, falling rocks, and other natural hazards beyond our control. Participation is entirely voluntary.
Itinerary Changes: Machu Picchu Team reserves the right to modify the itinerary whenever necessary due to circumstances beyond our control, including but not limited to severe weather conditions, landslides, road closures, government regulations, strikes, natural disasters, train schedule changes, or safety concerns. Whenever possible, we will offer the best available alternative while maintaining the quality of the experience.
Force Majeure: Machu Picchu Team shall not be held responsible for delays, itinerary changes, cancellations, or additional expenses caused by events beyond our reasonable control, including natural disasters, earthquakes, floods, pandemics, political unrest, demonstrations, government restrictions, airline delays, train cancellations, or other acts of God. These situations do not constitute grounds for compensation or refunds beyond those established in our Cancellation Policy.
Travel Insurance: Travel insurance is not included in the tour price. We strongly recommend purchasing comprehensive travel insurance before traveling to Peru, ideally covering medical expenses, emergency evacuation, trip cancellation, trip interruption, lost or delayed luggage, and personal accidents.
Personal Belongings: Passengers are responsible for their personal belongings throughout the tour. Although our team takes great care when handling luggage and duffle bags, Machu Picchu Team is not responsible for the loss, theft, or damage of cash, passports, cameras, mobile phones, jewelry, electronic devices, or other valuables. We recommend carrying valuable items in your daypack at all times.
Respect for the Environment: The Salkantay Trek passes through protected natural areas and fragile ecosystems. All participants are expected to respect wildlife and local communities, avoid littering, stay on designated trails, follow the instructions of the guide, and help preserve the natural and cultural heritage of Peru.
Passenger Conduct: For the safety and enjoyment of everyone, participants are expected to behave respectfully toward fellow travelers, guides, cooks, muleteers, drivers, hotel staff, and local communities. Machu Picchu Team reserves the right to remove any participant from the tour without refund if their behavior endangers themselves or others, is violent, abusive, or discriminatory, is excessively disruptive, involves illegal drug use, causes damage to property or the environment, or fails to follow the guide’s safety instructions.
Photography and Marketing: During the trek, our guides or staff may take photographs or videos for promotional purposes. If you prefer not to appear in any marketing materials, simply inform your guide before the tour begins, and we will gladly respect your preference.
Claims and Customer Support: Our goal is to provide an exceptional travel experience. If any issue arises during your tour, please notify your guide or contact our operations team immediately so we have the opportunity to resolve it as quickly as possible. Formal complaints must be submitted within three (3) calendar days after the completion of the tour, and claims submitted after this period may not be accepted.
Governing Law: These Terms and Conditions are governed by the laws of the Republic of Peru. In the event of any dispute, both parties agree to first seek an amicable resolution through mutual negotiation; if no agreement can be reached, the dispute shall be submitted to the competent courts of the city of Cusco, Peru.
Acceptance of These Terms: By confirming your reservation with Machu Picchu Team, you acknowledge that you have read, understood, and accepted these Terms & Conditions, as well as our Booking, Payment, and Cancellation Policy.
